Q.  What is the HP Supplier Portal?

A. The HP Supplier Portal is HP's single point of entry for HP suppliers, business partners and vendors to access HP content, services, applications and tools. It will replace all other external-facing HP portals and web sites for Business partner collaboration.


Q. Who can access it?

A.  Anyone who has access to the public internet can access the HP Supplier portal public pages. Users can learn more about the portal and read  HP unrestricted information.

However, the real value of the portal is contained within the secured pages. To access services with information classified as HP Confidential, a Business Partner company must complete a Business Partner Internet Authentication (BPIA) agreement with HP.  Individuals with the company may then obtain an HP owned digital certificate from their internal approvers, per the HP Delegated Administration model of user management, to access the Supplier Portal.  Alternately and for the less security stringent services, HP Restricted or lower, the portal offers the ability to register and sign-in to such secure pages using User ID and password.


Q. What applications currently reside under the HP Supplier portal?

A. At this time, over twenty HP owned applications and services spanning Supply Chain, Manufacturing and Finance are hosted under the HP Supplier portal.  This number is quickly increasing as Supplier Portal is constantly integrating new services.


Q.   I'm an HP internal user, where do I submit an issue for an application on the Supplier Portal?

A. If you know the HP support team for the application, contact them directly. Generally, it should be available through the HP Support 'Get IT' page (IT Support -SST). You can contact the Supplier Portal support team or application team directly using the 'Get IT' page. For Supplier Portal, search for 'Direct Procurement', then click 'HPSP'.


Q.   How do I become an approved vendor or supplier for HP?

A. Please refer to HPs Supplier Inquiry Portal, located at: https://h41268.www4.hp.com/live/index.aspx?qid=7224 to submit your information as a potential new supplier for HP. Your information will be directed to the proper contact and stored for review.


Q.   Where are HP Virtual Rooms?

A. Please refer to the HP Virtual Room site located at: http://rooms.hp.com.

Registration

Q.  What are Class B and Class C services?

A. Class B services (digital certificate protected services) correspond to services containing information classified as HP Confidential.  These services reside on a higher security layer that can only be accessed using a BPIA digital certificate.  To obtain the BPIA digital certificate your company must sign a legal agreement with HP.

Class C services (password protected services) correspond to services containing information classified as HP Restricted or HP Private.  These services reside on a lower security layer that can be accessed using a user id and password. To obtain the user id and password users are required to sign a separate CDA/NDA and fill a registration form.

Q.  How to register for the Class B (digital certificate) services?

A. To sign up for a Class B service, your company will need to sign a BPIA legal agreement with HP.  To find out if your company has established BPIA with HP, please contact the person in charge in your company.  Alternatively, you can contact the HP Supplier Portal support team.  The BPIA Legal Agreement and associated BPIA FAQs are available via the following link BPIA Business Partner Enrollment web site 

After you have your BPIA certificate, you will need to contact the HP service provider who owns the application or content.  If you are not sure who that person is, contact the HP Supplier Portal support team.

After you are granted access to the application or content, use the "Sign-in using digital certificate" link on the Supplier Portal left navigation. After login, the service link will be displayed on the Supplier Portal secure home left navigation.

Q.   How to register for the Class C (user id and password) services?

A. To sign up for a Class C service, follow these simple steps:

  • Go to the New User - Registration Page
  • Complete the "Sign-in information", "Personal information" and "Services Access request" sections
  • Click "Continue"
  • Click "Submit"

Within two business days of your request, you will receive a confirmation and access information via email.  After this, simply access the service by using the "Sign-in using user id and password" link on the Supplier Portal left navigation. You will need to enter your user id and password. After login, the service link will be displayed on the Supplier Portal secure home left navigation.

Q.   If I am already registered for Class B services; can I also register for Class C services?

A. Yes, if you already have access to the Class B secure home, visit the "Request access to additional services" link on the left navigation.  Select the service(s) you need access to and submit the request.  Within two business days of your request, you will receive a confirmation and access information via email.  After this, the service link will be added to your Class B home page left navigation.

Q.   If I am a Class C user, can I also access Class B services?

A. You cannot access Class B services from the Class C secure area.  Class B services are classified as HP confidential which requires higher security than Class C services.  To access Class B services your company will need to sign a BPIA legal agreement with HP.

If your company signs the BPIA legal agreement and you are granted access to the Class B secure area, all the services that apply to you (Class B and Class C) will be displayed on the Class B secure home left navigation.

Q.   My phone number or company name on my profile is incorrect. How can I get it updated?

A. This question would only apply to class C (username/password) users. Once you login with your username/password, at the very top of each page, ther is an 'Edit profile' link..

Q.   The person who used to access the application on Supplier Portal has left. How do we get a new person access?

A. If you know the HP sponsor for the application, contact them directly. You can also request access to certain class C applications using the 'How to register' link on this page (left hand side). You can also contact the exact support team directly using the help/feedback page on any Supplier Portal page (at bottom of each page).

A. Please, download the following document which describes the process to provide a notarized letter to VeriSign validating the initial approvers employment.

Q.   How do I import/export my BPIA digital certificate?

Q.   I'm unable to access the certificate protected part of the Supplier Portal, it says my certificate is not valid, how do I get help?

A. Please contact the BPIA sponsor for your company and/or conact BPIA support at the link below. . You may need a new certificate or have it re-issued. You can test your certificate below.

Q.   The BPIA approver for our company is leaving, what should we do?

A. You should make sure that the approver role has been transferred within your company to another individual. You should ALWAYS have at least 2 approvers per company. Follow the BPIA process (see BPIA FAQ) to get a new certificate. Once the new approver has the BPIA certificate, the previous approver (leaving) needs to then add the new user, as a user on the appropriate groups using the administration tool for Supplier Portal (Vignette).

Application Specific

Q. ApOnline/OB10: Where do I submit my invoice to HP?

A. If you want to track the payment status for your invoices, you need to request access to the AP Online application. Please go to the following link and submit your request and do not forget to check the box for 'AP Online':

Please note that AP Online is not the tool for submitting invoices online. You must be looking for the OB10 tool. OB10 and AP Online are two seperate online tools. AP Online is a free invoice and payment status tool, which you can use to track your payables securely online; whereas OB10 is the site for submitting invoices electronically to HP. Q.    I'm trying to download a certain document, but IE/browser is saying page not found?

A. Check your IE/browser settings using the document below. Contact your HP Sponsor or specific application team. You can also ask the application team for help using the 'SP feedback' link (at bottom of each page).
